Description:

Role Purpose

To provide EA support to the Chief Executive (and as required Chairman of the Board and Board Members)

Key Accountabilities

  • Provide EA support to the Chief Executive and (as required) Chairman of the Board and Board Members
  • Coordinate diary management for the Chief Executive and travel/accommodation arrangements
  • Deal with incoming phone calls, greet senior stakeholders and establish and maintain a strong rapport with contacts
  • Coordinate administrative arrangements for the Board, Annual General Meeting, and Leadership Team (including preparation of agendas, collation and distribution of all associated papers, preparation of minutes for approval by the Chair(s) and follow-up of actions
  • Provide cover and support (as required) to the centralised Business Services Team (including EA to the COO and CPO)
  • Undertake other duties as required

The following competencies are required to undertake the role successfully:

Relationship Building/Interpersonal Sensitivity – Level 2

Defined as: Relationship Building is the ability to successfully establish useful relationships across the range of internal and external teams and Members.  It relies on interpersonal sensitivity and the ability to understand and take into account the needs and feelings of others.  It therefore includes empathy and good listening skills, as well as qualities such as honesty and integrity.  The performance level sought is: L2,  ‘Is sensitive to and listens to people’ (Indicators:  Listens to others; Is approachable and gives enough time to individual and teams; Treats others as would like to be treated; Reads obvious body language and unspoken communication).

 

Taking Responsibility & Ownership – Level 3

Defined as: Taking responsibility involves accepting ultimate accountability for getting the job done. This requires a sense of ownership and a drive/determination to do what you say you will do, even if it includes making a sacrifice. The performance level sought is: L3, ‘Takes full responsibility/ownership’.  (Indicators:  Prepared to stick neck out; Never passes the buck; Never places too heavy burden on staff).

 

Decision Making – Level 2

Defined as: Decision Making is the ability to make timely and quality decisions and stick to them.  Arguably, it is not a behaviour, but an output resulting from self-confidence, persuasion, business awareness, analytical thinking and taking responsibility. The performance level sought is: L2,  ‘Makes timely decisions’ (Indicators: Decides when have enough information to make a decision; Acknowledges that better to have good policy in place quickly which satisfies 80% of need than a perfect one in 6 months)

 

Attention to Detail – Level 3

Defined as: Attention to detail is continually checking information and progress to maintain a high degree of accuracy and having a low tolerance for errors. It involves following tasks through to the end. The performance level sought is: L3, ‘High attention to detail and concern for quality’ (Indicators:  Produces /manages high quality output, ensures errors are not repeated, ensures attention is paid to minutiae & correct procedures, keeps meticulous records.)

 

Planning and Organising/Personal Organisation – Level 3

Defined as: Personal organisation is the ability to think through and adapt a clear, sensible approach to planning, prioritising and organising work, to make the most efficient use of time and other resources. The performance level sought is: L3, ‘Well-organised’. (Indicators: Always knows who is doing what & degree of progress, can ‘juggle’ different pieces of work of different size and priority.)

The following qualifications, skills, experience, knowledge and other attributes are required to be considered for the role:

Essential

  • Excellent organising and planning skills
  • Proven ability to meet tight deadlines and manage conflicting priorities
  • Excellent verbal and written communication skills
  • Ability to use own initiative and working independently as well as working as part of the Business Services team
  • Flexibility and adaptability
  • Good problem solving skills
  • Energy and enthusiasm
  • Proficient in MS Office (Word, Powerpoint, Excel)
  • High attention to detail
  • Experience of minute taking
  • Experience in providing support services at Senior Management level

Start date: asap

Salary: in the region of £32,000 per annum
